Larry that is a very good question and observation.
At the beginning, before Sam kicked us out of the Fireman’s Hall, voting was always done at the Hall with only those present. I believe this was because; e-mail and the website did not exist and non-attendees never viewed the Association as a valuable “watch-dog” of our Pension.
I’ve tried to use a “polling on the website” method, but I was flooded with bogus responses and left us all with false answers.
One possibility is an “absentee ballot”, it would be a little difficult, because we have members that rely on e-mail and snail-mail (USPS). The only fair way I can think of is that nominated members names could be submitted during the January meeting. The quarterly newsletter for the next meeting could contain an absentee ballot with the names of nominations and name of person voting (we wouldn’t want anyone to vote more than once or non-members to vote). The downside is that it would drag the election out four to eight months.
Any other suggestions? Remember we have to keep the cost down and fair.
