Open Letter to PEI Road Runners

To all members of the PEI Roadrunners,

As it has been noticed, the PEI Roadrunners are going through a period of change. As the demands of the club are getting greater, and the number of volunteers is getting smaller, the club needs to go through a few methodical shifts in order to survive. The former model of the Roadrunners was not sustainable and we hope to move to a more sustainable model. The Roadrunner Executive and board met and a lengthy discussion took place on a few of the most prominent dilemmas the club was facing. The executive has made some significant decisions in regards to these issues.

The board would like to hold one regional open meeting for any former members and current members, in order to make sure our points and our intentions are clearly communicated. The meeting will be held November 23, 2015 at the Sport PEI building in Charlottetown, room 236 from 6:30 to 8:30pm. We originally scheduled 2 meetings but have decided to do just one meeting held centrally in Charlottetown. All Roadrunner members and former members are invited. To assure that you are up to date, here are the main points we have addressed, along with our decisions on those points.

We mainly addressed the sanctioning document. It was agreed that the changes we will administer would only come into effect at the beginning of the year of 2016. Secondly, the cost of sanctioning a race was voted on to change from $2 per runner to a $50 flat fee. Sanctioning a race assures the race organizer to have their protected race date, their information posted on the website, and to have help from the PEI Roadrunners with equipment, etc. More details of these changes will be presented and to be discussed at the meetings. (Ex. Tech – online registration, calendar, date protection, points races, etc). We have a number of options on how to proceed for 2016 and you will help determine which options we pursue.

We understand that this method requires more out of the pockets of the race directors, but we find ourselves to have no other choice. Our race calendar has become too big to have to relay on volunteers alone, and we are seeking staffing for next year as a solution. Elsewhere, we are constantly in need of renewing gear (bibs, pins, signs, clock, and race supplies). Without any form of revenue other than membership, the Roadrunners are not sustainable.

We hope you understand that in a situation like this, change is required, and we hope you will come with suggestions and feedback. Please, we would appreciate this feedback to be constructive and helpful, as we want to work together with you. We would appreciate your courtesy, as we all have a common goal in mind; the one of improving our beloved club!
